Cheque Books and Cheque Printing in Tally

Setting up Sunrise Retail's SBI cheque book and printing cheques from Payment vouchers

Setting Up the Cheque Book in Tally

Gateway → Masters → Banking → Cheque Book → Create
Bank Ledger:       SBI Madhapur Current A/c
Cheque Book Name:  SBI CTS 2010 — Series 1
Starting Cheque:   000101
Ending Cheque:     000200
(100 leaves in this cheque book)
→ Ctrl+A

Tally now knows that cheque numbers 000101–000200 belong to the SBI Madhapur account. Any cheque number used in a Payment voucher is automatically tracked.


Configuring Cheque Printing Layout

Each bank has a specific cheque leaf layout. Positions must be measured manually on a sample cheque leaf before configuring:

Gateway → Masters → Banking → Cheque Printing Configuration
→ Bank: SBI Madhapur Current A/c
→ Cheque Name: SBI CTS 2010

Print Position Settings (distance from top-left corner):
  Payee Name:        X: 2.5 cm,  Y: 4.8 cm
  Date (DD):         X: 14.2 cm, Y: 2.3 cm
  Date (MM):         X: 15.5 cm, Y: 2.3 cm
  Date (YYYY):       X: 17.0 cm, Y: 2.3 cm
  Amount (figures):  X: 13.5 cm, Y: 5.8 cm
  Amount (words):    X:  2.0 cm, Y: 6.5 cm

SBI provides standard cheque dimension guidelines. Measure on a blank cheque leaf before finalising positions. Test with a draft printout on plain paper before printing on the actual cheque.


Recording Cheque Details in a Payment Voucher

When Sneha pays office rent by cheque (April 8, 2025):

Printing the Cheque from Tally

After saving the Payment voucher:

Open the saved Payment voucher (Day Book → select the voucher)
→ Alt+P (Print)
→ Select: Cheque (not Regular)
→ Insert SBI cheque leaf 000123 in printer (cheque side facing up)
→ Press Enter to print

Cheque status flow:

  • Issued — recorded in Tally, physical cheque dispatched or to be dispatched
  • Presented — bank has debited the account (confirmed during Bank Reconciliation)
  • Cancelled — cheque not used; number voided in the register

Post-Dated Cheques

TechWorld requests that Sunrise Retail issue a cheque for the April 5 purchase due on May 20 — but wants it dated May 20 now for assurance.

Recording a post-dated cheque:

Optional Voucher behaviour:

  • Appears in the Day Book as a future-dated entry
  • Does NOT affect the SBI bank ledger balance until you mark it as Regular (on May 20)
  • On May 20: open the Optional voucher → change status to Regular → bank balance updates

A post-dated cheque entered as a Regular (non-Optional) voucher will reduce the bank balance immediately on entry date — this overstates cash outflow in April. Always use Optional for post-dated cheques.


Practice Exercise

Exercise: On May 12, Sneha writes cheque 000128 to pay Sparsh Tech's invoice SP-2025-0092 (₹1,18,000) that was due April 30 (12 days overdue). Record the payment and explain what cheque status it gets.

Cheque status immediately after entry: Issued — the cheque has been recorded in Tally and the physical cheque is ready to be dispatched.

After Sparsh Tech deposits and the bank processes it (typically 1–2 days), the status moves to Presented during the next Bank Reconciliation Statement in Tally.

The payment is 12 days overdue. If Sparsh Tech's terms include a late payment penalty, that would be a separate journal entry (Dr: Interest on Late Payment → Cr: Sparsh Tech).
